About the Team

Our San Francisco office is comprised of a team of about 20 planners/engineers and two administrators. The administrative team is instrumental in creating and maintaining an ideal environment with smooth operations for the San Francisco office.

This includes: facilities support, purchasing, records maintenance, events and conference logistics, general administrative support, and much more. About the Role

We are seeking a talented and motivated Administrative Assistant to support the San Francisco team.

(Fehr & Peers cont.)

  • Maintain a pleasant, organized and an efficient office environment by stocking supplies, tidying common areas, and maintaining office equipment
  • Open and distribute daily mail, ship packages
  • Order office, kitchen and equipment supplies
  • Coordinate logistics for special events;  Order food, set-up and clean-up
  • Reconcile invoices for common office supplies and services (ie Staples, FedEx, Office Credit Card)
  • Organize and maintain office-wide filing systems (paper and electronic)
  • Support workflows for accounts payable including scanning and logging expenses
  • Support workflows for production projects (i.e. print reports, coordinate deliveries, etc.)
  • Assist in the orientation of new employees
  • Participate in a companywide administrative group focused on collaboration and enhancing administrative services

  • Know and follow the operating function of all washers and dryers. Know how to operate washer manually as well as automatically.  Refer to operating manual and supervisor for specific information or questions.
  • Fold all linens neatly according to guidelines and stock main storage and guest floor storage.
  • Report all damages, hazards or defective equipment to supervisor immediately.
  • Stock incoming clean and in house clean linen on all floors.
  • Keep the laundry room neat and organized at all times.
  • Cordially, quickly and efficiently honor all guest requests for irons, pillows, blankets etc.
  • Know chemicals used in washing and the related hazards.  Work with supervisor and chemical supplier to obtain the best products and operating formulas.  Control quantities of supplies as recommended by chemical supplier with approval of Executive Housekeeper or supervisor. 
  • Be familiar with wash/dry temperatures in formulas and check temperature gauges for control.
